Escrow Assistant

DeLeon Realty is seeking an Escrow Assistant to work closely and assist with the Escrow team in transaction coordination, tracking and administering real estate transactions (including disclosures, purchase contracts, counteroffers, open escrows. This role will work closely with Transaction Manager.

ESSENTIAL JOB FUNCTIONS:

  • Assist transaction coordinator with coordination, tracking and administering all facets of the Company’s real estate transactions (including disclosures, purchase contracts, counteroffers, open escrows), driving the process from initial listing agreement to closing;
  • Communicate with internal and external parties on behalf of DeLeon Realty (including clients, agents, title companies, and mortgage brokers) as a part of the coordination of real estate transactions;
  • Maintain and organize files relating to real estate transactions, including ensuring all the mandatory disclosures are completed and sent to the cooperating agent or broker for review and approval;
  • Create a time line of important dates for the real estate agent to follow, such as deadlines for loan and inspection contingency removal;
  • Open escrow with an escrow or title company and supply the escrow or title officer with the necessary information to begin the escrow process.
  • Performs other duties as assigned

QUALIFICATIONS:

  • 1-2 years of experience working as a real estate is preferred;
  • Demonstrate knowledge and understanding of basic legal documents, including disclosures, purchase contracts, and counteroffers;
  • Must have excellent organizational skills, detailed-oriented and the ability to manage multiple projects simultaneously;
  • Strong computer skills, including proficiency with electronic real estate databases;
  • Ability to provide exceptional customer service, including excellent oral and written skills;
  • Must be able to work independently, and prioritize workload to meet established goals and timelines
  • Effective time management and manage various deadlines within a short timeframe are critical;
  • Enjoy working in a fast-paced environment and ability to work under pressure;

Executive Assistant

The Executive Assistant is to provide support for the CEO (who is also the managing broker and general counsel) and anticipate his needs. Ideally, this person will be the liaison between the CEO and his other executive assistants, and will work very closely with the Office Manager.

KEY RESPONSIBILITIES:

  • Coordinate internal and external meetings with multiple EAs in the CEO’s calendar;
  • Work on assignments that are complex in nature and require considerable judgment, mindfulness, initiative, and technical/specialized knowledge to resolve problems;
  • Work as a team with other executive assistants, but be the primary person to help facility issues through the voice of the CEO;
  • Being able to put yourself in the CEO’s shoes and anticipate needs, expectations, and issues that arise;
  • Preparing: agendas, meeting notes, presentations, ordering meals, securing space, and making sure appropriate;
  • Composes spreadsheets and help create presentation materials for his webinars;
  • Maintains a strict level of highly confidential information;
  • General administrative/office duties require: help sort through inbox emails, compile reports, making travel arrangements, help with coordinating his aviation schedule, prepare expense reports, etc.;
  • Performs other duties as assigned

QUALIFICATIONS:

  • Bachelor’s degree is highly preferred
  • 5+ years of experience in working with a fast past, high-level executive
  • 2+ years in a Real Estate firm is highly preferred
  • Accuracy and attention to detail
  • Strong organizational, project management, and problem-solving skills
  • Good judgment and the ability to make quick decisions
  • Proficiency with Microsoft Office Suite and G-Suite
  • Strong multitasking skills

Design Coordinator (MANDARIN-SPEAKING)

The Design Coordinator is responsible for project management and interior design of residential properties coming on the market. This individual works closely with clients and the field coordination team, and reports to the Lead Designer.

KEY RESPONSIBILITIES:

  • Manage all aspects of preparing homes for sale, including identifying valuable repairs or improvement that provide homeowners with maximum return on investment; overseeing all phases of the home preparation, renovation, or remodeling; working with stagers to enhance the home’s lighting, spacing, and architectural style to appeal to buyers;
  • Select and manage vendors, including obtaining estimates, tracking payments, scheduling the work, and overseeing the progress of each project to ensure quality and timely work;
  • Communicate with clients regarding vendor’s estimates, payments, deadlines, and work progress;
  • Prepare project proposals, budgets, and schedules;
  • Set and meet tight schedules while juggling multiple projects and ensuring all projects stay on track and within budget;
  • Knowledge of material costs and staying current on design trends;
  • Performs other duties as assigned

QUALIFICATIONS:

  • Bachelors in Interior Design or equivalent years of experience
  • Must be able to speak Mandarin
  • Experience with residential remodeling strongly preferred
  • Renovation and remodeling project management experience preferred
  • Loves design, but also analytical, obsessive about detail, and incredibly well organized
  • Ability to work and coordinate with a team
  • Demonstrated experience multi-tasking in a fast-paced environment
  • High level of customer service skills
  • Excellent verbal and written communication skills with a high level of professionalism

  • Provide strategic and tactical consultation relating to purchasing and selling of real properties
  • Create and manage ongoing relationships with clients from initial engagements to closing of transactions
  • Assess buyers’ needs, explore active properties, perform market analysis of targeted properties, and present/show client selected properties for their consideration

KEY RESPONSIBILITIES:

  • Prepare all documentation relating to real estate transactions, such as offers, counteroffers, addenda, and listing agreements
  • Prepare market analysis to help determine property value
  • Quality control and ensure all documentation relating to real estate transactions are accurate and complete
  • Manage executive’s calendar, meeting coordination and communication, administrative projects, and tasks requiring logistical planning
  • Serve as liaison and central point of information on behalf of the executive with internal and external communication, provide information, provide problem solutions and status updates, and assist with the coordination of activities

QUALIFICATIONS:

  • California real estate license required
  • 2+ year of real estate experience and PRDs forms
  • Familiarity with California real estate contracts (g., PRDS and CARs forms)
  • 2+ years of administrative experience
